This screen shows the pay package for an employee based on applicable salary components (See Salary Components for details on how to create Salary Components). From this screen you will be able to manage employee pay package and view the pay history for the employee. The details on this screen will be used during the Pay Cycle (See Payroll) to calculate the employee’s earnings, deduction, tax and ultimately generate a payslip.
Fields contained in this screen are described below
- Job Title: This is the employee’s current job title, select the relevant title from the list
- Pay Grade: Select a pre-defined pay grade to have the system automatically fill in the Earning Breakdown section based on the selected pay grade
- Currency: This is the currency in which the employee’s salary is paid, select the relevant currency from the list
- Project Pay Rate Type: This specifies how the project pay is calculated i.e. daily or hourly
- Daily: The employee will be paid a fixed amount per day worked regardless of hours worked.
- Hourly: The employee will only be paid for hours worked
- Taxable Employee: This determines if tax will be calculated and withheld from the employee’s salary. Set to “Yes” to calculate tax otherwise set to “No”
- Start Date: This is the commencement date for this pay package
- End Date: This is the termination date for the pay package
- Comments: Any relevant comment
- Split Earnings: Click this button to allow a user put in a gross pay and percentages for each salary component and the system will automatically calculate the values of each salary component. Follow the steps below to use this functionality
- Total Earnings: Enter the gross income in this field
- Split percentages section: Enter the percentage for each salary component
- Total Percentage: This is the sum of all percentages entered and it will be populated when the “Sum Percentages” button is clicked
- Sum Percentages Button: Click this button to sum the percentages already entered, percentages must sum up to 100%
- Ok Button: Click this button to apply the entered percentages to the gross income and populate the salary component fields
- Cancel Button: Click this button to cancel and go back to the previous screen
- Re-Calculate: Click this button to recalculate the employee’s earnings, deductions and taxes. Note: The values calculated on this screen may be different to the actual values on the payslip if the employee gets paid project pay, has deductions or proration.
- Save Button: Click to save the Earning package
Sections
- All Earnings: This section contains all applicable “income” type salary components
- All Deductions: This section contains all applicable “deduction” type salary components
- All Tax Allowances: This section contains all applicable “tax allowance” type salary components
- All Progressive Taxes: This section contains all applicable “progressive tax” type salary components
- All Calculations: This section contains all applicable “calculation” type salary components
- Earning Summary: This section shows the total pay values for the employee as explained below
- Total Earnings: This is the total income for the employee
- Total Deductions: This is the total deduction for the employee including taxes
- Total Cost to Employee: This is the total part of employee’s deduction borne by the employee
- Total Cost to Employer: This is the total payment the employer will need to make on behalf of the employee, this includes employee earnings and the total part of employee’s deduction to be borne by the employer
- Earning History: This section lists all previous packages that has been recorded for the current employee at one time or another.
Editing Earning
Editing an earning package will cause a record to be saved to history after which editing will be possible. To edit an Earning entry, navigate to this screen by clicking Earning History on the side navigation panel. Click the edit button, fill in the end date for the current package and any relevant notes then and change the information as required (See Creating Earnings). When done, click the “Save” button to save changes or the “Cancel” button to discard changes.
Deleting Earning History
To delete an Earning history, navigate to this screen by clicking Earning History on the side navigation panel. Select the checkbox beside the Earnings(s) you want to delete and the click the “Delete” button.
Viewing a previous earning package
In the Earning History section, click on the start date of the package you are interested in to view its details, click the Close button when done to reload the current earning package. Note “All Earnings”, “All Deductions” and “All Calculations” sections are not populated when viewing an historic earning package.
Project Pay
This is a system item used to determine how much an employee is paid from a project perspective. Assigned hours contained in approved timesheets for a relevant pay cycle are compiled and multiplied by the project pay to determine the total employee payment in cases where the project pay type is set to “hourly” otherwise the total number of days covered by the relevant approved timesheet is calculated and multiplied by the project pay to determine the total employee payment.
