This screen allows the management of Disciplinary Records and the viewing of associated action taken because of the disciplinary case. From this screen you can add, edit or delete Disciplinary Records
Creating new Disciplinary Records
To create a Disciplinary Record, navigate to PIM > Disciplinary Records > Manage Disciplinary Records. Click on “Add” and fill in the necessary fields using the information below
- Name: This is the unique name of the Disciplinary Record.
- Employee: This is the employee to which the Disciplinary Record relates. You can enter part of the employee’s name and then click the search link to search for matching employees.
- Details: Enter the details of the disciplinary query here. Note that this is what the employee will see and respond to.
- Employee Response: An employee should use this field to respond to the query and possibly give reason why disciplinary action should be taken by management
- Resolution Type
- Salary Deduction: Select this option to deduct a specified amount from the employee’s next pay
- Deduction Type:
- Currency (ie Naira): Select this option to deduct a specified amount
- Value: This is the amount to deduct
- Unpaid Days: Select this option to deduct payment for specified number of days
- Currency (ie Naira): Select this option to deduct a specified amount
- Other: Select this option when an action other than salary deduction was taken
- Resolution Description: Use this to describe the action that was taken or the resolution to the case
- No Action: Select this
- Deduction Type:
- Deadline Date: This is the date by which the employee must respond to the disciplinary query
- Click the “Save” button to save the Disciplinary Record
- Click “Cancel” button to discard changes
- Click “Issue to Employee” to issue the query to the employee and the system will automatically send a notification to the affected employee.
- Salary Deduction: Select this option to deduct a specified amount from the employee’s next pay
Note: Disciplinary Record name is unique per employee which means the same Disciplinary Record name can be used for different employees
Editing Disciplinary Records
To edit a Disciplinary Record, navigate to PIM > Disciplinary Records > Manage Disciplinary Records. Click on a Disciplinary Record, click the “Edit” button and change the information as required (See Creating Disciplinary Records). When done, click the “Save” button to save changes or the “Cancel” button to discard changes.
Deleting Disciplinary Records
To delete a Disciplinary Record, navigate to PIM > Disciplinary Records > Manage Disciplinary Records. Select the checkbox beside the Disciplinary Record(s) you want to delete and the click the “Delete” button.
Viewing Deduction
If the resolution for a disciplinary case is a salary deduction, a link (View Deduction Details) will be visible and when clicked upon will show the details of the salary deduction.
